Overview: We are seeking a proactive and organized Office Manager who will be responsible for overseeing the smooth operations of our office environment. This role entails not only managing administrative tasks but also actively engaging in customer service and coordinating request for proposals (RFPs). The ideal candidate will possess excellent communication skills, a strong attention to detail, and the ability to multitask effectively.

Key Responsibilities:

  1. Office Administration:
    • Manage day-to-day office operations, including maintaining office supplies, equipment, and facilities.
    • Coordinate office activities and events, such as meetings, conferences, and team-building exercises.
    • Develop and implement efficient office policies and procedures to ensure smooth workflow.
    • Handle incoming and outgoing correspondence, including emails, letters, and packages.
  2. Customer Service:
    • Serve as the primary point of contact for customers, addressing inquiries, resolving issues, and providing exceptional service.
    • Manage customer inquiries via phone, email, and in-person interactions, ensuring timely and professional responses.
    • Build and maintain positive relationships with customers, fostering a customer-centric culture within the organization.
  3. Request for Proposals (RFPs):
    • Coordinate the RFP process from start to finish, including identifying opportunities, drafting proposals, and submitting responses.
    • Collaborate with internal teams to gather necessary information and develop comprehensive proposals that meet client requirements.
    • Maintain a database of RFPs, tracking deadlines, submissions, and outcomes to facilitate future planning and optimization.

Qualifications:

  • Bachelor's degree in business administration, management, or a related field preferred.
  • Proven experience in office management, customer service, and proposal coordination.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Excellent written and verbal communication skills, with a keen attention to detail.
  • Proficiency in Microsoft Office suite and experience with office management software.
